Maintenance Budgets & Capex Reserves for Extraction Labs

How to set money aside for extractor replacement, repairs and spare parts using simple budgeting frameworks.

Educational overview from my experience, not legal or operating instructions. Example numbers are marked as examples. No solvent procedures, temperatures or pressures are given. Always follow your state cannabis regulations, local fire code, equipment manufacturer guidance and your own approved SOPs.

Equipment wears out on a schedule whether or not you planned for it. A reserve turns a future crisis into a line item.

Three buckets

  • Routine maintenance (opex): PM parts, oils, filters, calibration services.
  • Spare parts inventory: critical spares on the shelf so a failure doesn't stop production.
  • Capex reserve: savings toward replacing or upgrading extractors, chillers, pumps and ovens.

Frameworks you can use

  • Percent of revenue: set aside a fixed percentage of monthly revenue for maintenance and reserves. Pick a rate with your accountant.
  • Replacement-value method: estimate each asset's replacement cost and useful life, then save replacement cost ÷ years of life each year.
  • History-based: after a year of tracked repair spending, budget that plus a contingency.

Example (illustrative only): an asset with replacement cost X and an expected life of N years needs about X ÷ N saved per year. Use your own quotes and your accountant's guidance.

Track it

Keep a simple asset sheet: purchase date, cost, expected life, service history, current reserve balance. Review it quarterly alongside your KPIs.

Questions

How much should an extraction lab budget for maintenance?

There is no single number. Use a percent-of-revenue or replacement-value framework with your accountant, then refine it with your own repair history.
